NHS Jobs: How to ... create custom reports

Are you using the full range of tools that NHS Jobs gives you? Did you know you can run reports for different parts of the recruitment journey and tailor them to suit your needs? Creating, saving and scheduling reports saves you time.

NHS Jobs has 21 standard reports and 10 flexible reports ready for you to use. There are over 390 reportable fields within the system. And you can even schedule reports so the system will automatically generate them and email them to you or other users.

You may need to ask your System Administrator to assign permissions to give you access to standard, flexible or saved reports.

Check out your System Administrator Training Materials for information on how to run standard reports. You can also use the flexible reports tool to find out how to build, save and schedule a customised report.

To create a flexible report:

  1. From the home screen, open the flexible reports tool. Select the report you want to customise. In the example below, we’ve selected a Vacancies report.

  1. Select the fields you wish to report on from the checklist and drop down menus. Then click 'Analysis Report'.

  1. Give the report a name and click 'Save'.

  1. Select format type and email address of any recipients and select Schedule. Use the drop-down menus to set when and how often you would like your report to run. Click 'Set schedule' to save your changes.
